I am a therapist, and run a complementary therapy clinic (4 years in) and am also a pilates instructor. There are 6 other therapists working at the clinic.
 
I am not yet in a position to take on a receptionist/admin person financially, but as I get busier, there is less time to do all that stuff. I am way behind with paperwork, and feel like I am always chasing my tail! I am just about to move premises, so this initially will take a lot of funding until (hopefully) the clinic gets busier. I am thinking of starting off with a virtual receptionist to begin, which will help a bit I think so I’m not having to return calls in my breaks and after work.
 
I guess my question is about time management, and how to get on top of things before the situation gets any more difficult. I know I am at a bit of a ‘tipping point’ and will have to employ someone soon, but this just feels like another ‘job’ to do on my long waiting list of things to do, and how can I ever get round to it. I feel I need to read up about employing someone before I go into it so I know what to look for, but again its time?

Hi DMany thanks for your email. Unfortunately this is a very common situation that many business owners find themselves in.

I could give you lots of information on time management but this is just theory - you need a plan.

I personally use virtual assistances and outsource a lot of my work. Although this sounds like a great idea it also brings lots of problems. I assume that you would want them to take calls and book appointments for you. They will do this but they will not understand your business and keeping a joint diary is very difficult - You will still need to talk to people.

You say that you have six other therapists at the clinic. Do they all work for you?

This seems like a high number not to deserve a full time receptionist / admin person. If they others are self employed then you could all share the costs between you.

I would suggest that you get hold of a book that will really help you with this problem. Its called the ‘E-Myth by Michael Gerber’ and you can get it from Amazon. In the book Michael gives examples of business owners just like you and his solutions. It will open your mind to what is possible.
